Events Manager – Job Description

Responsible to: BISC Operations Manager
Salary: £22,000 pro rata (£9,900 for 0.45 FTE)
Hours: 18 hours a week
Working pattern:  Offers some flexibility, but must include Wednesday daytime, most Friday afternoons/evenings, and some weekend work. Time in lieu given for any hours exceeding 18 per week
Contract: Fixed term for 12 months in the first instance.

 

Role purpose:
The Events Manager will support the Director and the Operations Manager through the planning and delivery of a range of meals and events, in order to offer welcome, hospitality and community for international students in Bristol.

 

Role summary:
To organise and deliver an engaging programme of events that develops community for  international students in Bristol, enhancing wellbeing, supporting Christian students in their faith and offering opportunities for those keen to explore Christianity to do so.

 

Key skills:

  • Excellent use of English (both written and oral)

  • Proven project management (ideally events management) skills and the ability to juggle several projects simultaneously

  • Awareness of multicultural perspectives and ability to plan activities with sensitivity for a culturally mixed audience

  • Experience of using Social Media platforms (either professionally or personally) for marketing and engagement

  • Confidence with basic catering and a willingness to work in the kitchen as required

  • Strong IT skills, including good working knowledge of Microsoft Office

  • Attention to detail and accuracy

  • Proven ability to work as part of a team and support other team members.

  • Good with people; keen to engage with international students and volunteers

  • Good self-starter; able to identify, research and deliver relevant packages of work with minimal supervision

  • Quick learner, with the ability to pick up new systems or processes

Main duties and responsibilities:

Working with the Director and Operations Manager in all areas of event planning and operations, including:

  • Leading the development of the events programme, to be signed off by the Operations Manager; all team members are involved in contributing ideas.

  • Creating and planning events, ensuring adequate planning and execution; drawing on support and assistance from the team and volunteers as required.

  • Producing and managing events project plan and completing other paperwork, including risk assessments, menus, guest lists and logistics plans.

  • Ensuring each event has adequate volunteers, and managing them during events.

  • Oversight of catering for each event, delegating and drawing on team and volunteers as required including planning menus and ordering food.

  • Assisting with all elements of in-person events (including catering, food hygiene processes welcoming students, setting up rooms, hosting as required).

  • Being willing to work regular Friday evenings and occasional weekends as required and with prior notice, for which TOIL will be given.

  • Working alongside the Communications Manager to run the social media channels, specifically posts relating to events in progress or complete.

  • Working with the team to share other reasonable responsibilities concerning the ministry of BISC.
